The budget for this project is flexible and will be based on the proposals received. Proposals should provide a detailed breakdown of costs (budget narrative) for the conference, not to exceed a maximum of $12,000 (including the in-kind contribution of 25%). All included costs must be necessary, reasonable, and allocable.
Yes. Both existing or new FEAA Supporting Member Organizations are welcome to apply. The other requirements for applicants are:
- Demonstrated experience in event planning and management, particularly in folk education.
- Strong communication and organization skills.
- Knowledge of folk education or related fields.
- Ability to work collaboratively with the FEAA conference team and stakeholders.
- Experience in culturally responsive and anti-racist education and shared commitment to these principles.
- Audiovisual capabilities for broadcasting some conference components such as keynote speakers online.
Additional costs such as accommodations and food at participants’ cost should be estimated and included in the budget narrative in paragraph or bullet point form. Food at participants’ cost is not included in the (maximum $12,000) proposed budget. The FEAA will contract with third party service providers directly unless otherwise negotiated with the hosting organization.
On page 3 of the RFP it states that proposals should account for the attendance of approximately 75-100 participants.
The hosting organization should have adequate meeting space for 75-100 participants to gather together. Additional facilities, breakout areas, or outdoor spaces that may be utilized for the conference should also be noted in your proposal and accounted for in the budget.
Accommodations at participants’ cost are not included in the $12,000 maximum budget. If your organization is able to host attendees onsite, please include information in your budget narrative regarding the nature of the accommodations, the number of participants that can be accommodated, and any associated fees for participants. For offsite accommodations, please provide guidance in your budget narrative as to local options in your community and any associated costs for participants.
The FEAA will work collaboratively with the successful hosting organization to finalize the conference schedule. Proposals should include any programming that potential host organizations would be interested in offering and all costs for these sessions should be accounted for in the maximum budget of $12,000.
